Your written proposal confirms dates, responsibilities, payment and adjustment terms before booking.

Booking your visit

Share your group, location, ages, headcount and timing. We prepare a project, price, class schedule and return plan.

  • Submitting an inquiry or choosing a calendar date does not confirm a booking.
  • Review the proposal and confirm your visit with us in writing.
  • Tell us about purchasing documents, venue access and any approval deadlines before confirming.

Arrival, staffing & session time

View a sample 60-minute session

5 minutes: demonstration · 5 minutes: design planning · 40 minutes: painting · 5 minutes: sharing · 5 minutes: labeling and preparing the work for collection. We adjust the timing for the project and students.

Our team normally arrives 15-30 minutes before the first session to check in, unload and set up. Please arrange access to the room, with tables and chairs ready.

  • One instructor and one or two assistants attend, depending on the group and session needs.
  • Standard sessions are 60 minutes for 20-30 students. Allow about 15 minutes between classes.
  • A teacher or familiar staff member stays with the group to provide supervision and individual support.
  • Setup and pack-up are separate from painting. Room access and completion times are agreed in advance.

Tell us about check-in, stairs, elevators and unloading access.

What each team prepares

Elly's brings

  • One agreed standard mug, plate or bowl per student.
  • Painting materials, brushes and activity tools.
  • Painting guidance.
  • Collection and transport packing.

Your school provides

  • Suitable tables, chairs and clear access to the workspace.
  • Water access and a place for students to wash their hands.
  • A teacher or familiar staff member throughout the session.
  • An on-site contact and a contact for return delivery.

Agree on table protection, room layout, aprons and support needs in advance. Wear clothes suitable for painting. Please omit private student information.

Collection & cleanup

Elly's collects artwork and packs away its materials. Agree before booking who provides table coverings, wipes surfaces, handles waste and restores the room.

Your school handles student transitions and belongings. Share venue cleanup requirements; we agree on final pack-up time.

We agree on piece labels and class grouping. Your school can keep the student-name reference list.

Kiln firing & return delivery

Finished pieces are usually returned about two weeks after the painting visit. Pieces go to our studio for kiln firing and are not taken home on the painting day.

  • Share your finished-piece deadline, especially before holidays or school events.
  • We confirm the return date or agreed delivery window in your written proposal.
  • School closures, holidays and larger projects may require additional time.
  • Packing and one agreed local return delivery are included. Your school distributes the pieces to students.

We contact your organizer if the return schedule changes. Discuss time-sensitive projects before choosing a painting date.

Headcounts, absences & credits

Each standard class has a minimum charge for 20 students. Let us know about headcount changes as soon as possible. Your written proposal sets the final-count deadline and the adjustment terms for your project.

  • Paid bookings: eligible adjustments become an agreed organization credit or other settlement.
  • Unpaid bookings: eligible adjustments can be reflected in the invoice.
  • An adjustment is applied once, as an invoice change or credit.
  • Removing an entire class can change the package price. Custom pieces and special orders may have separate agreed conditions.
  • Ask before adding students; materials, staffing and group size must allow it.
Example of an agreed adjustment

If your proposal allows attendance-based adjustments: 25 prepaid students at $35 ($875), with 23 attending, gives an $805 total and $70 difference. The 20-student minimum still applies.

Organization credits and their use are agreed in writing. Tell us before booking if your institution cannot accept credits.

Rescheduling, closures & cancellations

Contact us promptly about closures, weather or timetable changes. We’ll discuss a new date and whether your return deadline can still be met.

Review proposal terms for rescheduling, cancellation, payments and special-order materials before booking.

Damaged pieces & care

Send a photo and class or piece identifier if artwork arrives damaged. We agree on a resolution with your organizer; the proposal covers firing and delivery damage.

Colors change through firing, and a replacement cannot exactly reproduce a student's artwork. Share event deadlines when discussing options.

We confirm food-use, microwave and dishwasher guidance for your selected pieces, materials and firing. Decorative gallery examples may differ.

Let us help plan the details.

Tell us how many people will take part, where the visit will take place and when you need the finished pieces.
